The Vendor Questionnaire Problem at Scale

Every enterprise prospect has a security questionnaire. SIG Lite, CAIQ, ISO 27001 self-assessment, or a custom 200-question spreadsheet from their procurement team. As you scale from 10 to 50 to 200 enterprise prospects per quarter, the questionnaire workload grows with it — and each one demands 4–12 hours of engineering or security team time to complete accurately.

For a company with a strong SOC 2 program, 90% of the questions across all of these questionnaires have the same answers. The information is already documented in your policies, controls, and compliance evidence. The problem is retrieval and formatting, not content.

Common Questionnaire Types

SIG / SIG Lite (Shared Assessments): The most common standardized questionnaire in US enterprise procurement. 800+ questions in the full SIG, 127 in the SIG Lite. Covers 18 risk domains including access control, data security, incident response, and vendor management.

CAIQ (Cloud Security Alliance): Common for cloud/SaaS procurement. 197 questions across 17 control domains. If you have a SOC 2 report and answer the CAIQ once, most enterprise cloud security reviews are handled.

Custom questionnaires: Every large enterprise has its own security assessment spreadsheet. These are often adapted from NIST, CIS, or ISO frameworks — and if you maintain a solid answer library, custom questionnaires can be completed in 30–90 minutes rather than 8 hours.

Building a Questionnaire Answer Library

An answer library maps common questionnaire questions to your pre-approved, accurate answers. You build it once and maintain it as your security program evolves.

Categories to cover in your library:

  • Does your company have a SOC 2 report? Type I or Type II? When was it issued?
  • What encryption standards do you use (at rest and in transit)?
  • How do you manage access keys and credentials?
  • What is your incident response SLA?
  • Do you perform annual penetration testing?
  • What is your vulnerability management process?
  • Who are your sub-processors?
  • What data retention and deletion policies apply?
  • Do you have a Business Continuity / Disaster Recovery plan?
  • How do you handle employee background checks?
For each question, maintain: the approved answer, the supporting evidence location, the last review date, and the team member who owns that answer.

Review cycle: Review the entire answer library annually or when a significant change to your security program occurs. Stale answers are worse than no answers — they can create liability if a customer relied on them.

The Trust Center Connection

A well-built trust center answers 30–40% of vendor questionnaire questions before the questionnaire is even sent. When a prospect's procurement team has access to your trust center before completing their security assessment, they can pre-populate known fields and focus their questions on genuine gaps.

Include your trust center URL in the first response to any inbound security questionnaire request. Many enterprise procurement teams will accept a trust center URL as sufficient for initial security screening — saving both parties hours of back-and-forth.

Workflow for Completing Questionnaires

With an answer library in place, the completion workflow becomes:

  • Receive questionnaire (email or shared spreadsheet)
  • Pass through answer library — auto-populate all matching questions
  • Review remaining unanswered questions — most require only a yes/no or brief description
  • Technical review for any unusual questions (30 minutes with the DevOps lead)
  • Final review and approve for send (15 minutes)
  • Total time: 2–3 hours instead of 8–12, with consistent, accurate answers across all customers.

    SecureSpect Vendor Questionnaires Module

SecureSpect's Vendor Questionnaires module provides a workspace for building your answer library, tracking active questionnaires, and managing the review-and-approval workflow. Your approved answers are stored once and reused across questionnaires — when your SOC 2 report is renewed, update the relevant answers in one place and every future questionnaire inherits the current answer. The module also tracks which customers have requested questionnaires, their status, and who is responsible for each open questionnaire — so nothing falls through the cracks when an enterprise deal depends on it.
